Job Description:

  1. Receiving Delivery Fulfilment
  • Ensure on time good receipt of incoming shipment into SAP.
  • Arrange and co-ordinate with internal and external parties on import/export//local shipments
  • Prepare Delivery Order (DO), Invoice, Packing List or other shipping documentations to facilitate delivery.
  • Prepare ‘Certificate of Origin’ and other ‘Free Trade Agreement’ related documents if required.
  • Arrange fumigation, B/L collection and any other services if necessary
  • Ensure on-time and accurate shipment execution against customer’s requirements and internal order fulfilment KPI
  • Provide complete shipping documents to related parties and maintain proper filling
  • Ensure compliance with all logistical requirements (Trade compliance, internal/external audits etc)
  • Assume work responsibility of other team member(s) during their absence as per allocated in the buddy system.

2. Outbound Shipments

  • Monitor Planned Shipment Dates for all Sales Orders and arrange timely delivery to customers.
  • Prepare and disseminate full set of shipping documents on timely basis to internal or external parties.
  • Optimize shipment space and capacity.
  • Ensure proper filling of completed orders.
  • To provide work back up in times of manpower absenteeism

3. Inbound Shipments

  • Ensure warehouse is well prepared for goods receipt, in terms of storage space and manpower.
  • Ensure incoming quantity discrepancies are communicated to relevant stakeholders and promptly closed.

4. Inventory Integrity

  • Ensure inventory accuracy between systems (SAP and WMS) and physical quantity
  • Perform inventory write off and system adjustment transactions in SAP.

5. Reporting

  • Perform data analysis and prepare necessary logistics/converting reporting

6. Service Provider (SP) Management

  • Manage SP to ensure pre-defined KPI and service level achieved.
  • Verify freight and warehousing billing

7. Customer Relationship Management

  • Ensure new customer accounts are properly administered
  • Maintain and expand customer relationship within order processing and scope of service level
  • Ensure customers’ orders are properly administered and delivered
  • Ensure timely receipt of payments from customers
  • Maintain close working relationships with internal & external parties serving as a communication link between Customer and Sales Staffs to assure responsiveness.
  • Support customers’ request for product or delivery related documents
  • Support Sales request for samples

8. Claims Handling

  • Ensure customer complaint process is properly managed and resolved

9. Others

  • Perform other ad-hoc tasks as assigned by superior.

Requirements:

  • Advanced Diploma / Diploma in Business Admin or equivalent professional qualification
  • 3-5 years of relevant working experience
  • SAP knowledge
